Privacy Policy

Groundmind Systems, Inc. ("Groundmind", "GM", "we", "us") provides GM General Manager, an intelligent monitoring and operational awareness service designed to work with user-authorized Ring devices.

1. Information We Collect

We may process:

  • Account and profile information such as name, email address, and authentication information.
  • Organization, location, area, operating-hour, preference, and operational-standard information users provide to GM.
  • Information about Ring devices that users explicitly authorize GM to access.
  • Camera-related events, timestamps, device metadata, visual observations, snapshots, clips, and related analysis when necessary to provide GM functionality.
  • Support communications and technical information needed to operate, secure, and troubleshoot the Service.

2. Ring Account and Device Access

GM connects to Ring only after the Ring account holder authorizes the integration and selects supported devices. GM does not claim access to devices that have not been authorized by the user.

Users remain in control of which Ring devices GM may access and may disconnect the Ring integration or change authorized access through the available Ring or GM account controls at any time.

3. How We Use Information

We use information to:

  • Provide and operate GM.
  • Understand activity from authorized devices.
  • Identify meaningful events and exceptions.
  • Create alerts, summaries, history, and operational insights.
  • Remember user-provided context, preferences, and operational standards.
  • Maintain security, prevent abuse, troubleshoot, and improve reliability.
  • Provide customer support.

GM does not store or maintain continuous Ring video streams as a persistent video archive. Authorized Ring video may be accessed and processed transiently solely to provide the service.

Persistent GM records are limited to data necessary to provide the service, such as event-level metadata, analysis results, operational context, and, where necessary, limited event-specific supporting snapshots or short clips.

4. Video and AI Processing

GM may process visual information from authorized Ring cameras and video doorbells to generate descriptions, observations, alerts, clips, summaries, and operational insights.

GM may use specialized infrastructure and visual intelligence service providers to perform this processing. Processing is limited to providing, securing, and operating the GM service.

5. No Facial Recognition or Biometric Identification

GM does not use facial recognition to identify individuals and does not create, store, or use biometric identifiers or biometric templates for the purpose of identifying a person.

GM may analyze authorized camera footage to understand visual events, objects, activity, movement, or operational context, but it is not designed to determine a person’s identity from their face or other biometric characteristics.

GM does not maintain facial recognition watchlists, identity databases, or biometric profiles.

6. AI Model Training

GM does not use Ring or customer video, images, event data, or related customer data to train AI or automated models.

Ring and customer data are processed only to provide, secure, and operate the GM service.

Because Ring and customer data are not used to train AI models, a training opt-out is not required or applicable, and this does not affect the customer’s service.

7. Training Opt-Out

8. Sensitive Data and Biometric Identification

GM does not use Ring data to identify or infer sensitive personal characteristics such as race or ethnicity, religion, political opinions, sexual orientation, health information, or other sensitive traits.

GM does not perform facial recognition or biometric identification and does not create or maintain facial recognition profiles, biometric identity databases, or facial watchlists.

9. Service Providers

We may use third-party infrastructure and service providers required to operate GM, including:

  • Ring / Amazon for authorized Ring device connectivity.
  • Supabase / Lovable Cloud for application infrastructure, authentication, database, and storage services.
  • Visual intelligence and processing providers used by GM to analyze authorized camera activity.
  • Payment providers when paid services are used.

These providers process information only as needed to provide their respective services, subject to their applicable terms and privacy practices.

Visual processing of authorized Ring video is performed transiently and does not create a persistent video archive maintained by GM.

10. Human Access to Customer Data

GM personnel do not routinely monitor customer camera feeds. Any human access to customer data or event-specific supporting media must be limited, authorized, and only where necessary for customer support, troubleshooting, security, legal compliance, or other legitimate service operations.

Access is limited to personnel or approved service providers with a legitimate need to perform those functions.

11. Storage and Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No electronic system can be guaranteed to be completely secure.

12. Data Retention

We retain information for as long as reasonably necessary to provide the Service, maintain legitimate business records, meet legal obligations, resolve disputes, and protect the Service. Retention periods may vary by type of information.

GM does not retain continuous Ring video streams as a persistent archive. Persistent GM records are limited to data necessary to provide the service, such as event-level metadata, analysis results, operational context, and, where necessary, limited event-specific supporting snapshots or short clips.

Event-specific snapshots, crops, and short clips are retained for a maximum of 30 days from creation. The expiry is set by GM's systems and cannot be extended by a user or an application request. A daily scheduled job permanently deletes expired media files and clears the stored references to them, and expired media is refused even before the file is removed.

Self-service account deletion is available directly through GM Account Settings; it is authenticated and processed server-side using GM's implemented deletion workflow, and does not normally require a waiting period. Verified privacy or deletion requests submitted through support are handled manually under GM's documented Privacy Rights & Requests process and are completed within applicable legal or request-processing timelines. In either case, limited information may be retained where required or permitted for legal, billing, security, fraud-prevention, or dispute-resolution purposes.

13. Sharing

We do not sell personal information. We may share information with service providers necessary to operate GM, when required by law, to protect users or the Service, or in connection with a lawful corporate transaction.

14. Your Choices and Data Deletion

Users may update certain account information and disconnect their Ring integration at any time through available account controls.

GM is not a separate continuous-video repository. Users manage their original Ring footage through Ring. GM provides controls over the GM account, connected Ring integration, and data maintained by GM.

Users may request deletion of their GM account and associated personal data directly through Settings → Account → Delete account, or by contacting support@gmhub.live.

After a valid deletion request is accepted, GM disconnects the user’s Ring integration and stops receiving new data from authorized Ring devices.

Account deletion requests are generally completed within 30 days, subject to limited retention where required or permitted for legal, billing, security, fraud-prevention, or dispute-resolution purposes.

15. Opt-Out and Ring Disconnection

Users may stop future Ring data processing by disconnecting their Ring integration or removing authorization for selected Ring devices. This does not delete original Ring footage, which users manage through Ring.

After a Ring integration or device authorization is removed, GM stops receiving new data from the disconnected Ring devices. GM features dependent on those devices will no longer be available.

Users may also request deletion of their GM account and associated data.

16. User Control and Review of Data

Users remain in control of which supported Ring devices are connected to GM.

Users may review available GM events, alerts, summaries, and related visual evidence made available through the Service.

Original Ring footage is hosted by Ring and managed through Ring's account controls. GM is not a separate continuous-video repository; GM provides controls over the GM account, connected Ring integration, and data maintained by GM.

Users may remove authorization for Ring devices, disconnect their Ring integration, or request deletion of their GM account and associated data.

17. AI Capability Changes

Material changes to GM's AI or automated analysis capabilities may be communicated through the GM Service, product notices, release notes, or updates to applicable policies.

Where a change materially affects how customer data is processed, GM will update its disclosures as appropriate.

18. Children

GM is intended for use by adults managing their own homes, organizations, or businesses and is not directed to children.

19. Changes to this Policy

We may update this Privacy Policy from time to time. The current version and effective date will be posted on this page.
